Subscription, Billing & Cancellation Terms

Effective date: January 1, 2025Last updated: March 1, 2025

Summary

These terms describe how subscription billing, renewals, and cancellation work for Ergova. You can cancel at any time; cancellation is effective at the end of the current billing period. We do not provide refunds for partial periods except where required by law or as stated below.

Recurring subscriptions

When you subscribe to Ergova, you are agreeing to a recurring subscription (e.g., monthly or annually). Fees are charged at the start of each billing period. Your payment method on file will be charged automatically unless you cancel before the renewal date.

Trial (if applicable)

Placeholder

If we offer a free trial, terms (e.g., duration, conversion to paid) will be disclosed at signup. No charge will be made until the trial ends unless you upgrade or we have clearly stated otherwise. (TODO: Founder to add trial language if applicable.)

Invoices and payment timing

Invoices are generated at the beginning of each billing period and are available in your account. Payment is due as specified (typically upon invoice). We accept major credit cards and other payment methods as shown at checkout. You must keep your payment information up to date to avoid service interruption.

Taxes

Prices are exclusive of applicable taxes unless otherwise stated. You are responsible for any sales, use, VAT, or similar taxes where required by law. We may collect tax when we have a duty to do so and will show it on your invoice.

Failed payments

If a payment fails (e.g., expired card, insufficient funds), we may retry the charge and will notify you. If payment is not received after a reasonable period, we may suspend or terminate your access. You remain responsible for any unpaid amounts.

Plan and seat changes

If you change plan or add/remove seats, we will prorate or charge the difference as applicable. Upgrades typically take effect immediately; downgrades may take effect at the next billing cycle. Details are shown in your account when you make changes.

Renewals

Plain English

Your subscription will renew automatically at the end of each billing period (e.g., every month or every year) for the same period, and your payment method will be charged, unless you cancel before the renewal date. You will not receive a separate renewal notice each time; the renewal date is shown in your account and in our renewal reminder emails where we send them.

Cancellation process

How to cancel

You may cancel your subscription at any time. To cancel: go to your account settings (or the billing/subscription section in the Ergova app or at app.ergova.co), find the subscription or billing page, and use the "Cancel subscription" or similar option. Cancellation is effective at the end of the current billing period; you will retain access until then. We do not require you to call or email to cancel. (FTC click-to-cancel: cancellation method is as easy as sign-up where practicable.)

Effect of cancellation

After cancellation takes effect, you will lose access to paid features and your data may be retained or deleted in accordance with our Privacy Policy and Data Processing Addendum. We recommend exporting any data you need before the end of the billing period.

Refund policy

Placeholder

We generally do not provide refunds for partial billing periods or unused time. Refunds may be considered on a case-by-case basis for service failures or as required by law. (TODO: Founder/legal to confirm refund policy.)

Billing disputes

If you believe a charge is incorrect, contact us as soon as possible at legal@ergova.co or through our support channels. We will work with you to resolve the issue. For chargebacks, we may suspend or terminate your account until the dispute is resolved.

Where to manage your subscription

You can view and manage your subscription, payment method, and invoices in your Ergova account under Settings → Billing (or the equivalent path in the product). For direct access, log in at app.ergova.co and go to the billing or subscription section. To cancel, use the cancel option in that same area.
