How Ergova subscription billing, renewals, and cancellation work

Summary

These terms describe how Ergova subscription billing, renewals, and cancellation work. Recurring subscriptions renew automatically unless canceled. You can manage billing and cancel through Ergova Settings → Billing, which uses the Stripe customer billing portal. Fees are generally non-refundable except where required by law or expressly agreed in writing. These terms supplement our Terms of Service.

1. Recurring subscriptions

Ergova is offered as a recurring subscription. Depending on what is offered at checkout and in-product, plans may be billed monthly or annually (or on another interval shown at purchase). Fees for each billing period are billed in advance. Your selected payment method is charged automatically for each renewal unless you cancel before the applicable renewal date.

Plan names, included field-technician quantities, additional technician (seat) pricing, and intervals are shown at checkout and on our pricing page and may change over time.

2. Payment method and automatic charges

Platform subscription payments are processed by Stripe. By starting or continuing a subscription, you authorize Ergova and Stripe to charge your selected payment method on a recurring basis for subscription fees and any applicable taxes shown at checkout or on your invoice. You must keep your payment information current to avoid payment failures.

3. Invoices and receipts

Subscription invoices and related billing documents are available in your Ergova account under Settings → Billing, and through the Stripe customer billing portal when you use Manage billing. Stripe may also make invoice or receipt documents available through its hosted invoice links or Stripe's own communications, depending on Stripe's configuration.

Recurring subscriptions are ordinarily charged automatically to your payment method when each period begins; you are not required to manually pay each invoice unless a payment fails or another payment method is required.

4. Taxes

Listed subscription prices are generally exclusive of applicable taxes unless otherwise stated at checkout or on an invoice. You are responsible for taxes we are required to collect. Where tax is collected, it will appear on the applicable invoice or checkout total.

5. Failed payments

If a charge fails, Stripe or Ergova may retry the payment and may notify you of the payment issue. You remain responsible for unpaid amounts. Consistent with our Terms of Service, Ergova may suspend, limit, or terminate access for nonpayment. A single failed charge does not automatically end your subscription; unpaid or canceled subscription status is handled through Stripe and Ergova billing systems as payments succeed or fail.

6. Plan and seat changes

Where the product supports it, you may change subscription plans and add or remove additional technician seats in Ergova or through billing management tools.

  • Plan changes: When you change plans in-product, Ergova updates your Stripe subscription and creates prorated charges or credits for the unused portion of the current period as applicable. Timing and amounts are shown when you confirm the change and on the resulting invoice.
  • Seat / technician quantity changes: Additional seats may be added or removed where supported. Charges for seat changes appear on your Stripe subscription and invoices as configured for that change.
  • Downgrade limits: A downgrade may be blocked or redirected to billing management if your current seat usage exceeds the target plan's limits.

7. Promotions and discounts

Checkout may allow Stripe promotion codes where enabled. Promotional pricing, coupons, and discounts are subject to the terms shown at redemption and may expire or be modified. Unless a promotion expressly states otherwise, promotional terms do not create an ongoing refund or price-guarantee right after the promotion ends.

8. Pricing changes

Ergova may change subscription pricing for future billing periods. Price changes apply prospectively and do not retroactively change amounts already paid for a completed period. Where notice is required, we will provide it by reasonable means (for example email or in-product notice). Continued use after a price change becomes effective constitutes acceptance of the new price for subsequent periods.

9. Renewals

Subscriptions renew automatically for successive periods of the same length unless you cancel before the renewal date. Your payment method on file will be charged for the renewal. The current period end or renewal date is shown in your Ergova billing settings when available.

10. Cancellation

You may cancel your Ergova subscription without calling or emailing support. To cancel:

  1. Sign in at app.ergova.co
  2. Go to Settings → Billing
  3. Select Manage billing to open the Stripe customer billing portal
  4. Complete cancellation in the portal as prompted

Ergova does not provide a separate in-app "Cancel subscription" button outside that portal flow. Cancellation timing—including whether the subscription ends immediately or at the end of the current billing period—is shown in the Stripe portal when you confirm. In the ordinary course, canceling stops future renewal, and access to paid features continues through the already-paid period when the portal is configured for end-of-period cancellation.

11. Effect of cancellation

When your paid access ends, paid features may become unavailable, and continued access to the Services or to Customer Data through Ergova is not guaranteed. Export any data you need before access ends. Retention, deletion, backup, and export after termination are governed by our Privacy Policy, any applicable Data Processing Addendum, our Terms of Service, and applicable law.

12. Refunds

Except where required by applicable law or expressly agreed by Ergova in writing, subscription fees are generally non-refundable. Ergova does not provide refunds or credits for partially used billing periods, unused time, downgrades after a charge, or failure to cancel before renewal. Ergova may issue a refund or credit in its sole discretion.

13. Billing disputes

If you believe a charge is incorrect, contact us promptly at support@ergova.co or legal@ergova.co. We will work with you to review the issue. If you initiate a chargeback or payment dispute, Ergova may suspend or limit affected services or take other reasonable steps while the dispute remains open, consistent with our Terms of Service and Stripe's dispute processes. A chargeback does not automatically terminate every account in all cases.

14. Where to manage your subscription

View and manage your plan, seats (where available), payment method, invoices, and cancellation through Settings → Billing in your Ergova account (app.ergova.co). Use Manage billing to open the Stripe customer billing portal for payment methods, invoices, and cancellation.
